Zenoti vs Mindbody: charting, payroll and AI Receptionist on one platform
Mindbody covers booking, payments, memberships and marketing, and sends payroll data to partners such as ADP and Paychex. Zenoti builds clinical charting with e-prescribing, an AI Receptionist that answers your calls and full-service US payroll into the same platform, so the treatment room, front desk and back office run on one system.

Zenoti vs Mindbody: the problems spa and medspa teams switch to solve
Both platforms book appointments, take payments and run memberships. The difference shows up around them: the calls, the charts, the numbers, the payroll and the move itself.
Zenoti vs Mindbody in brief
The short version, if you only read one thing on this page.
- The core difference: Zenoti builds clinical charting with e-prescribing, an AI Receptionist that answers calls and full-service US payroll into one platform, while Mindbody sends payroll data to partners such as ADP and Paychex.
- Both cover online booking, payments, memberships, room scheduling, dynamic pricing, marketing campaigns and multi-location reporting, and both keep some features on higher plans or paid add-ons.
- Mindbody also lists businesses on its consumer app, which Zenoti does not offer.
- On Capterra, Zenoti holds 4.4 out of 5 from 1,291 reviews, with 4.6 for customer service, as of October 1, 2026.

The problem
The phone rings while every therapist is with a guest
Treatments run back to back and the front desk is checking someone out. The caller who wanted a Saturday massage books with whoever picks up.
How Zenoti fixes it
AI Receptionist answers the calls your front desk misses, at rush hour, lunch, evenings and weekends. It books, reschedules and cancels appointments, suggests add-ons on every call, rings unconfirmed guests before their visit and hands the caller to a person on request. It works with your current phone line through call forwarding, or with HyperConnect if you want Zenoti to run your phones. In Zenoti’s own HyperConnect data across 3,500+ locations, about one in three missed calls that AI Receptionist answers converts into an appointment, roughly a quarter of those conversions include an upsell, and about 20% of cancellations are recovered. These are Zenoti/HyperConnect vendor figures, not an independent industry benchmark, and results vary by practice.
See AI ReceptionistThe problem
Consents, charts and photos sit in different places
Consent forms sit in one place, photos end up on a provider's phone, and chart notes wait until the last patient has gone.
How Zenoti fixes it
Zenoti's medspa EMR keeps intake and consent forms, treatment charts, before-and-after photos and prescriptions on the patient record, next to the appointment. Forms go out as soon as a visit is booked. Injectable charts capture the product, units per zone, lot number and expiry. Photo Manager guides every shot with overlays so sessions line up, and e-prescribing runs through Surescripts. AI Scribe, a paid add-on, listens to the consultation and fills in the chart for the provider to approve. Zenoti supports HIPAA-compliant workflows, with a BAA available on request.
The problem
Memberships run on exceptions, and lapsed clients drift
A member wants to freeze for a month, share a facial with her sister or redeem at your other location, and someone works it out by hand. Clients who have not been in for three months hear nothing at all.
How Zenoti fixes it
Zenoti renews memberships automatically and sends renewal reminders, bills packages in installments, lets members freeze or skip a payment and share benefits with family and friends, and redeems benefits at any of your locations. Smart Marketing segments clients by visit history, service and loyalty tier, sends win-back and rebooking campaigns by email and text, prompts guests for feedback after their visit, and shows which campaigns turned into bookings and revenue.
The problem
You know the number exists, not which report holds it
Month end means pulling several reports into a spreadsheet to answer one question about a provider, a service or a location.
How Zenoti fixes it
Zenoti reports refresh in real time and filter by location, region or the whole business. Add, remove or rearrange columns, build your own formula columns, save the view and schedule it to land in your inbox. Permissions keep sensitive reports with the people who should see them.
“While there is a learning curve at the beginning, once the system is set up properly, it offers strong customization and better visibility into business data, client activity, and daily operations.”Natalia H., marketing lead, Health, Wellness and Fitness. The problem
Commissions, tips and payroll eat hours every pay period
Every therapist and injector has their own commission rules and tips. In Mindbody, payroll reports calculate what each person is owed, and the data can be sent to a payroll provider such as ADP or Paychex.
How Zenoti fixes it
Zenoti tracks commissions and tips in real time, shows providers their earnings in the myZen app, gives them instant tip access on the myZen card, and runs full-service US payroll through Zenoti Integrated Payroll. It calculates, files and pays federal and state payroll taxes in all 50 states. Tip reporting forms 8027 and 8846 are filed separately.
The problem
Switching feels riskier than staying
Years of client history, member auto-pays, package and gift card balances, saved cards and a team to retrain, all while the spa keeps booking.
How Zenoti fixes it
A Zenoti migration team scopes your Mindbody data on the first call, imports clients, members, visit history and balances into a staging site, and has you check them against your Mindbody reports before go-live. Your team trains on your own setup, and you cut over in a quiet week.
“There is a learning curve because Zenoti has so many features and settings. It takes some time to learn everything the system can do, but the support team has been very helpful along the way.”Hannah S., Business Administrator, Health, Wellness and Fitness. August 12, 2026. The move follows five phases, with a Zenoti migration team alongside you. On Booker? Plan your move on your timeline: the same five phases apply.
Scope
A migration specialist maps your Mindbody data, services and setup on the first call.
Migrate
Client and member profiles, visit history, memberships and balances move to a staging site.
Configure
Your service menu, staff, pay rules, forms and online booking are set up for you.
Validate
You check members, auto-pays, package and gift card balances against your Mindbody reports.
Train and go live
Your team trains on your own setup, and you cut over in a quiet week.
What moves
Zenoti's Mindbody guide lists client and member profiles, visit and purchase history, future appointments, memberships and auto-pays, class pack and punch-card balances, and gift card balances.
Start the saved-card export in week one
If you take payments through Mindbody Payments, which Mindbody says is powered by Stripe, stored cards move to a new processor through a formal export request. Raise it on your first migration call, and plan a secure link for members to re-enter cards if it runs long.

Zenoti vs Mindbody: questions spa and medspa owners ask
What is the difference between Zenoti and Mindbody?
Zenoti builds clinical charting with e-prescribing, before-and-after photo tools, an AI Receptionist that answers calls and full-service US payroll into one platform for spas and medspas. Mindbody covers booking, payments, memberships, marketing and SOAP notes, and sends payroll data to partners such as ADP and Paychex. Both cover online booking, room scheduling, dynamic pricing, memberships and multi-location reporting, and both keep some features on higher plans or paid add-ons.
Zenoti vs Mindbody for spa and wellness business management: which offers better scheduling and marketing?
Both schedule rooms and providers, take group bookings and support dynamic pricing, with Mindbody's room and resource management on its Accelerate and Ultimate plans. Zenoti books the therapist and the room together in one flow, takes online group bookings of up to six guests and couples services in the same room, and runs Smart Marketing campaigns that report the bookings and revenue each one drives. Mindbody includes automated email and text marketing on its Ultimate plan and lists your business on the Mindbody app. Beyond scheduling and marketing, compare clinical charting, payroll and how calls get answered in a demo.
Which is the best spa software, Zenoti or Mindbody?
Zenoti is the stronger fit for spas and medspas that want treatment charts, photos, e-prescribing, payroll and an AI Receptionist on the same platform as booking and memberships. If a large share of your first-time clients come from the Mindbody app or from ClassPass appointments, measure that before you switch, because Zenoti does not run a consumer marketplace and its ClassPass integration covers classes only.
Does Zenoti have an AI receptionist like Mindbody's AI Concierge?
Yes. Zenoti's AI Receptionist answers the calls your front desk misses, books, reschedules and cancels appointments, suggests add-ons, calls unconfirmed guests before their visit and hands callers to staff on request. Mindbody's AI Concierge answers client questions and books, reschedules and cancels appointments by text and web chat, and follows up missed calls with a text. Mindbody includes AI Concierge on its Ultimate plan and offers it as an add-on on Accelerate. On Zenoti, AI agents such as AI Receptionist are part of the AI Plus package.
Is Zenoti HIPAA compliant for medspas?
Yes. Zenoti supports HIPAA-compliant workflows for medical spas, with encrypted patient data, access controls, audit logs and photo management that treats clinical images as protected health information. A Business Associate Agreement is available on request.
How long does it take to switch from Mindbody to Zenoti?
The move runs in five phases: scope, migrate, configure, validate, and train and go live.
One caveat on timing: separate guest-data migration from full implementation. Moving your data is fast, but configuring services, rooms, memberships and go-live can take longer depending on complexity, and many practices run Zenoti and Mindbody in parallel for a short period before cutting over. Align your Mindbody cancellation to your contract end, and ask for the timeline in writing rather than a single number of weeks.
What moves from Mindbody to Zenoti?
Zenoti's Mindbody migration covers client and member profiles, visit and purchase history, future appointments, memberships with their auto-pay states, class pack and punch-card balances, and gift card balances. Your service menu, staff, pay rules, waivers, intake forms and SOAP notes are rebuilt or set up for you during onboarding, and saved cards run on their own track with your payment processor.
What happens to my Mindbody app listing if I switch?
Your listing on the Mindbody app ends when you leave Mindbody. Before you decide, measure how many first-time clients the app sent you over a full year, since regulars who book in the app already know you. On Zenoti, clients book through your own website, Google, Instagram, Facebook and your branded app.
Weigh the trade-off too: Mindbody’s marketplace is a genuine source of new clients, especially for fitness and class-based businesses that depend on discovery. Because it is a shared marketplace, it also surfaces nearby businesses to the same consumers, so it is worth knowing how much of your new-client flow depends on marketplace discovery versus your own channels before you switch.
Can I keep using ClassPass with Zenoti?
For classes, yes. Zenoti's ClassPass integration supports class registrations only, not services or appointments, so check how much of your ClassPass revenue comes from appointments before you switch.
How does Zenoti pricing compare with Mindbody?
Mindbody's pricing page lists Starter, Accelerate and Ultimate plans with a per-location starting price and a sales contact for each plan. Zenoti quotes each business, so ask for a quote in your demo and include any add-ons and separate tools you pay for today when you compare.
Can I try Zenoti before committing?
Zenoti offers a live demo built around your spa or practice. It does not offer a self-serve free trial.
Is Zenoti only for large spa groups?
No. More than 30,000 businesses use Zenoti, from single-location shops to global brands, and a little over half of the businesses that move to Zenoti from Mindbody are single-location.
