Your Zenoti account was upgraded with the latest features on October 15. It’s our first release under our new brand name. In case you missed it, you can read about it here. We’ve got an exciting line up of enhancements in Appointment Book, Memberships and Employee Management. Let’s get straight into what’s new.

APPOINTMENT BOOK AND POS

CUSTOM COLORS FOR APPOINTMENTS

You can now choose to fully customize your appointment book with colors of your choice. Using this new feature, you can take complete control over the most important part of your daily operations - your appointment book. Each business operates in its own unique way, and with this enhancement you choose the colors, you set the rules - to quickly get to what’s most important for your business.

For example, define colors for each service category or subcategory. Hair cuts could be blue, color treatments pink and massages green. This helps you quickly identify the type of appointment, and for busy salons and spas this visual check can help ensure that services are assigned to the proper service provider. If you're a membership driven business, you might choose to define each membership with a different color.

So that an appointment booked by a member at the lowest membership level will show up as blue, while members of your highest level membership shows up as red. This indicates to the front desk what type of conversation, upsell or cross they should have with each client. You can also override an appointment block's color if required. For example, if a client is a VIP guest, or has special needs, then the front desk can change the color to indicate some special attention is required.

MEMBERSHIPS

MEMBERSHIPS WITH SETUP FEE

You can now charge a one-time enrollment fee on your recurring memberships. You can bill the setup fee separately, and offer any exclusive discounts on it. Customers can sign up for the membership by paying the setup fee and choose to start their membership billing at a later date. You also have the flexibility to allow members to use their benefits right after they pay the fee and sign up for the membership. FLEXIBLE MEMBERSHIP BENEFITS

Allow members to choose their membership benefits from a variety of services of equal value. Typically, long-term memberships offer benefits in a way that members are able to redeem the same service in multiple quantities over a certain period. For example, an annual massage membership might include a benefit of 12 60 minute Swedish massages.

With this new enhancement, you can define that membership to swap a 60 minute Swedish massage with a 30 minute Swedish massage plus either a 30 minute facial or 30 minute pedicure. This would be true only if you set the rule to allow for this. For more details, read our help article Map Equal Value Services to Membership Benefits.

CAPTURE REASONS FOR MEMBERSHIP CANCELLATION

You can specify a fixed list of reasons for your employees to select from to cancel memberships. You can still use the comments box to type any useful notes, so you have access to relevant and complete information related to cancellations. The Membership Status Report in the Marketing module helps you track the reasons for all the cancelled memberships. For more details, read our help article Using Membership Cancellation Reasons.

EMPLOYEE MANAGEMENT

DEFINE COMMISSIONS FOR MEMBERSHIP SALES AT EMPLOYEE LEVEL

You can now define membership commission at employee level, which was earlier available only at job level. You can either define the commission to be a certain percentage of the membership price or you can define a flat amount. Use this option to better reward top-performers or increase incentives for low-performers by offering them higher commissions at employee level.

If the commission is set at employee-membership level, the system will use that for commission. If not, the system goes back to the default tier-based commission model configured. For more details, read our help article Configuring Memberships Commissions at Individual Employee Level.

DEFINE COMMISSIONS FOR PRODUCT SALES AT EMPLOYEE LEVEL

You can now define product commission at employee level, which was earlier available only at job level. You can either define the commission to be a certain percentage of the product price or you can define a flat amount. For example, an employee sells a product worth $75, you can define if you want the employee to have a certain percentage of $75 as commission or, you can define if you want to have a flat amount for each sale.

THE ZENOTI BIOMETRICS APPLICATION

The new Zenoti Biometrics application runs independently from internet browser limitations. This app allows you to more easily and reliably manage employee check ins and check outs.

You could set up a dedicated computer with the application, so that all employees can check-in and check-out through it, without the intervention of your front-desk, freeing them up to engage with customers. Visit our Help Center to Learn How To Set Up the Zenoti Biometrics app. This app is an add-on to the core Zenoti platform.

MOBILE

MARK UP AREAS AND ADD COMMENTS TO IMAGES USING EMPLOYEE APP

Using the newest version of Employee app, therapists can take pictures of areas of treatment, markup and add comments. For example, you can take picture of client’s face, markup spots before treatment to review with the client. You can also take a picture after to compare the effect of treatment.

USE DEFAULT IMAGES FOR CAPTURING SOAP NOTES

Use default images in Intake forms or consultation forms to quickly capture SOAP notes for a client. For example, using the figure of human body service providers can accurately pinpoint area of treatment on the mobile app.

OPTIONAL GENDER FIELD FOR NEW CUSTOMERS

Gender selection is no longer a required field for new clients sign ups on both Customer Mobile App and In-Store App. This is applicable in both App store and Google Play store.

REPORTS

INCLUDE OR EXCLUDE TAX IN COLLECTION REPORTS

For organizations that follow cash based accounting, you can now view collections reports with an option to exclude tax. For cash accounting purposes, collections without tax is equivalent to revenue. To view the report, go to Accounting > Daily Reports > Collections by Item Type
